Who we are
The Warehouse Firm LLC is a third-party logistics company operating two warehouses in the Houston, Texas area. This page explains what information we collect, why, who handles it for us, and how to reach us about it.
What we collect
- Enquiries and quotes. Name, company, email, phone and what you tell us about your products and volumes when you contact us or request a quote.
- Client accounts. Contact details, the documents and messages you exchange with us in the client portal, and the operational records needed to receive, store and ship your goods.
- Staff accounts. Name, work email and the records our team creates while doing their jobs.
- Payments. When you pay an invoice by card, the payment is handled by Stripe. We receive confirmation and the last digits of the card, never the full card number.
- Our own bank data. We connect our company's own bank accounts to our back-office system through Stripe Financial Connections, read-only, to reconcile our books. This concerns The Warehouse Firm's accounts only, never yours.
- Website use. Standard server logs and the technical data a browser sends when you visit.
Why we use it
To answer enquiries, prepare quotes, run the warehouse work you asked for, invoice and collect payment, keep our books, meet legal and tax duties, and keep our systems secure. We do not sell personal information and we do not use it for advertising.
Who processes it for us
Service providers that host our systems and mailboxes, process card payments (Stripe), deliver email, and run payroll for our staff. Each of them acts on our instructions and only to provide its service. We share information with carriers and partners only when it is needed to move your freight, and with authorities when the law requires it.
How long we keep it
As long as we work together and as long as tax and commercial law require afterwards, generally seven years for accounting records. Enquiries that do not become business are deleted within two years.
Security
Access to our systems is limited to staff who need it, protected by individual logins, and our providers encrypt data in transit and at rest. No system is perfect; if something goes wrong that affects you, we tell you.
Your choices
You can ask what we hold about you, ask us to correct or delete it, or object to a use, by writing to us. We answer within 30 days. If you are a client, some records must be kept for the legal periods above even after deletion is requested.
